Office Manager

In this role you will support two managing partners and take the lead on various key company tasks including office management, supply orders, meeting and conference/event coordination, and other administrative duties. This opportunity is ideal for a proactive self-starter with a knack for balancing competing tasks and priorities in a fast-paced corporate setting.

Redwood Investment Management is an institutional SEC registered investment adviser providing leading edge investment solutions to clients and investment advisers across a variety of vehicles including the Redwood mutual funds, separately managed accounts, sub-advisory relationships, unified managed accounts, investment model platforms, a hedge fund, and a series of ETFs. Redwood’s strategies are primarily quantitative and focus on a macro level view. Our offices are in Scottsdale, AZ. & Los Angeles, CA. This role is in our Scottsdale, AZ office.

Job Responsibilities include but are not limited to:

  • Manage calendars, schedule meetings, and assist with travel coordination for two managing partners
  • Greet and direct all visitors including vendors, clients and delivery persons
  • Assist with scheduling and coordinating logistics for meetings across departments
  • Liaise with building maintenance and outside vendors for preventative and routine maintenance
  • Point of contact for IT maintenance & projects that require onsite help; manage IT projects to completion
  • Manage the office vacation calendar, adding office-wide events and flagging conflicts
  • Purchasing office supplies and equipment and maintaining proper stock levels.
  • Event planning, including meetings and employee seasonal event support
  • Assisting organization of invoices & physical mail
  • Overseeing general office operations including keeping office clean, organized & presentable
  • Assist with other administrative duties as needed

 

Candidate Requirements:

  • 1 - 3 years of administrative experience in a fast-paced corporate setting
  • High standard of accuracy and excellent attention to detail
  • Excellent written and oral communication skills
  • Strong technical skills with mastery of Outlook, Excel, PowerPoint, and Word
  • Ability to multitask and prioritize effectively
  • Highly motivated self-starter
  • Ability to take initiative and work proactively to improve processes
  • Authorized to work in the United States without sponsorship
